Hours Worked Calculator

Add up the hours worked from start and end times, minus unpaid breaks, across a week of shifts.

Formula explained below

One shift per line: start time, end time and unpaid break in minutes, such as 9:00 17:30 30. Times can be 24-hour or use am and pm.

Total time worked

36:45:00

Decimal hours

How it works

Enter one shift per line as the start time, the end time and the unpaid break in minutes. You can also add an hourly rate in the advanced options.

Shift time = End time − Start time − Unpaid break (add 24 hours if the end is before the start)Total time = Sum of all shiftsDecimal hours = Total minutes ÷ 60

Worked example

Five shifts with 30 minute unpaid breaks, except the last, which has none:

  1. 9:00 to 17:30, less 30 minutes: 8:00
  2. 9:00 to 17:00, less 30 minutes: 7:30
  3. 8:30 to 16:30, less 30 minutes: 7:30
  4. 9:00 to 17:15, less 30 minutes: 7:45
  5. 9:00 to 15:00, no break: 6:00
  6. Total: 36 hours 45 minutes, or 36.75 decimal hours

Rounding

Time is counted in whole minutes. Decimal hours are shown to two decimal places.

Frequently asked questions

How do you calculate hours worked?

Subtract the start time from the end time, then subtract unpaid breaks. A shift from 9:00 to 17:30 with a 30 minute unpaid break is 8 hours. Add the shifts together for the total, and divide minutes by 60 for decimal hours.

How do I calculate a shift that goes past midnight?

If the end time is earlier than the start time, the shift runs overnight, so 24 hours are added to the end. A shift from 22:00 to 06:00 is 8 hours. The calculator does this for you.

Do breaks count as hours worked?

It depends on the break. The US Department of Labor's Fact Sheet 22 says short rest periods, usually 20 minutes or less, must be counted as hours worked, while bona fide meal periods, typically 30 minutes or more, need not be paid. Enter as the unpaid break only the time that is not paid.

How do I convert hours and minutes to decimal hours?

Divide the minutes by 60 and add the whole hours. A total of 36 hours and 45 minutes is 36 + 45 ÷ 60 = 36.75 hours. Decimal hours are what payroll systems usually multiply by the hourly rate.

Does this calculate overtime?

No. It adds up the time and, if you give a rate, multiplies the total hours by it. Overtime rules depend on federal and state law and your pay period, so check with your employer or the Department of Labor.

For information only, not legal or payroll advice. Check your employer's policy and the law that applies to you for what counts as paid time.
